Florence: Fred, tell us a little bit about our operations at Focus Washrooms.

Fred:

“I would say that there couldn’t be anything more important—especially being a project-related business. The key to delivering on time, in full, is extremely important, particularly as a lot of the establishments we work in are schools. Schools mainly need their work done during holiday times. So the whole customer service aspect—making sure there are no snags, no delays—is critical.”

Not just school holidays

While many schools prefer refurbishments to happen during the holidays to avoid disruption, Fred and the team can also manage term-time projects successfully. In fact, completing a project during term time can offer unexpected benefits, such as:

  • Staged work: Phased scheduling avoids full closure of facilities, minimising overall downtime.

  • Flexible planning: We tailor the refurbishment schedule to suit lessons or break times.

Ensuring projects stay on track

Florence: How do you make sure that you don’t run over when you’re running a project?

Fred:

“We have what we call the Project Playbook. It’s a 30-step guide on how to run a project, and it’s taught to every Project Manager from day one. Right from the outset, anyone involved in securing the project joins what we call a ‘final measure’ site visit with the Project Manager. This ensures there’s a key handover.”

Fred went on to explain that every detail—from final site measurements to subcontractor coordination—is guided by the Project Playbook. The team uses daily morning meetings to track progress, and if any part of the schedule risks slipping, a clear escalation process is in place.

  • Multiple backup plans: We have backup contractors and suppliers at the ready.

  • Proactive communication: Each contractor or supplier due on-site gets a call the day before.

  • Built-in buffer: Projects typically include at least a one-week buffer at the end, so it’s rare for delays to affect the final handover date.

Keeping customers in the loop

Fred also highlighted the importance of communication with customers:

“Normally, there’s a twice-a-week call from either Karen or Annalie. They’ll phone the customer to give them a clear update on the program, making sure everyone’s confident we’re on track.”
